Education cleaning

Software for education cleaning contractors.

Term-time cover around children, and a deep clean programme compressed into the holidays.

14 days free access · no card needed

An education cleaning contract has two completely different shapes depending on the month. During term it is a daily clean around occupants who are present, messy and numerous, done in a narrow window after the last lesson. During the holidays it is a project: a deep clean programme across a whole site, with the labour to match and a hard deadline when the children come back.

Planning the second while running the first is the real job. Holiday work has to be scoped, staffed and scheduled months ahead, and anything that slips does not slip to next week — it slips to the next holiday, by which point it has become somebody's complaint.

The third factor is who you are working around. Cleaning staff are on site with pupils, which makes attendance a safeguarding matter as well as an operational one, and it makes the question of who is working where something the school expects you to be able to answer precisely.

The records

What education cleaning contracts are answerable for

  • Contract scope, specification and renewal dates
  • Site and building profiles with access notes
  • Term-time schedules and holiday programme scheduling
  • Task checklists completed on site, with photo evidence
  • Scored audits, with findings raised as issues
  • Staff records with right to work, training and COSHH
The problem

What makes this hard for education cleaning contracts

  • Two contracts in one

A daily term-time clean and a holiday deep clean programme need different labour, different scheduling and different evidence, and they are held under the same agreement.

  • A holiday programme with a hard stop

Work has to finish before the first day of term. Anything incomplete is visible immediately to every parent, pupil and member of staff who walks in.

  • A window of ninety minutes

Term-time cleaning happens between the last lesson and the building closing, often alongside after-school activities. There is no flexibility in it at all.

  • Who is on site, around children

A school is entitled to know exactly who attended. Cover arranged by phone at short notice makes that a question nobody can answer confidently.

  • Multi-academy contracts, one standard

A trust expects the same standard across schools of different ages and layouts, and expects to see it demonstrated rather than asserted.

The answer

How CleanOptix helps

  • Two contracts in one

The specification is held against the contract and the sites it covers, so a term-time regime and a holiday programme sit under the same record without being confused for each other.

    Contracts and sites
  • A holiday programme with a hard stop

Schedules and shift patterns per site let a holiday programme be built and staffed ahead of time, so what is outstanding a week before term is known rather than discovered.

    Schedules and rotas
  • A window of ninety minutes

Checklists completed on site with photo evidence mean a short shift still produces a record, which is the only way a ninety-minute window is ever accounted for.

    Task checklists
  • Who is on site, around children

Staff records hold right-to-work evidence and training per cleaner, and site assignment is recorded, so who was due on a school site is a record rather than a recollection.

    Staff and training
  • Multi-academy contracts, one standard

Scored audits across every school make a trust's standard something you demonstrate with a trend rather than assert in a meeting.

Questions

What education cleaning contracts ask

Does it hold DBS records for cleaning staff?
No. Staff records hold right-to-work evidence, training and COSHH. DBS and any other clearance stay wherever you hold them now, and nothing in CleanOptix should be treated as evidence that a person is cleared to work on a school site. That remains your responsibility and the school's.
Can we plan the holiday programme in it?
Schedules and shift patterns sit per site, so a holiday programme can be built and staffed ahead of the break. The system holds the plan you build; it does not know your client's term dates unless you tell it.
Can a trust see every school's audits?
Reporting is client-ready and covers completion, audits and issues, so a trust-level picture is assembled from the records rather than from each school's supervisor.
Does it handle payroll for term-time-only staff?
No. There is no payroll or invoicing function. Schedules record who was due and who attended; pay is calculated in your own system.
Does it order consumables for school sites?
No. Stock control and consumables ordering are out of scope.
